Executive Assistant to Senior Director of Community Behavioral Services & Coordinator for Community Advocacy Program

PURPOSE

Incumbent will provide high-level administrative support to the Senior Director of Community Behavioral Services. Under the direction of the Senior Director, the Executive Assistant will manage administrative office functions, correspondence, scheduling, and support functions.


REPORTING RELATIONSHIPS

Reports To: Senior Director of Community Behavioral Services

Supervises: N/A

Liaison To: Service Providers, Program Partners, Tlingit & Haida Tribal Court, and Federal Grant Managers

 

ESSENTIAL FUNCTIONS

  • Track and manage projects and requests for the Senior Director
  • Manage administrative functions for the Community Behavioral Services and Community Advocacy Program, including scheduling and correspondence
  • Compile data to prepare and submit accurate and timely operational and grant reports
  • Manage grant reporting deadlines and data collection
  • Schedule, coordinate, and provide logistical support for Community Advocacy Program and Tlingit & Haida’s Violence Against Women Task Force meetings and events
  • Draft, proofread and format documents and correspondence
  • Assist with the Department’s annual report to Tribal Assembly and monthly operational reports
  • Other duties as assigned

NECESSARY SKILLS AND KNOWLEDGE

  • Ability to work effectively with executives, managers, supervisors, employees, and delegates
  • Excellent computer skills, including proficiency in Microsoft Office
  • Familiarity with word processing, spreadsheets, and database software 
  • Strong time management & interpersonal skills
  • Ability to maintain accurate, complete, and confidential records
  • Ability and willingness to learn and integrate new technologies and methodologies to efficiently perform responsibilities.

MINIMUM QUALIFICATIONS (education, experience, skills)

  • Associate’s degree
  • Two years’ experience in related field
  • Valid Driver’s License; clean driving record

 

Substitution for degree

  • (3) years of experience in a related field


PREFERRED QUALIFICATIONS (education, experience, skills)

  • Bachelor’s degree in field of Psychology, Social Work, Business Administration, Public Health, or related field
  • 5 years’ experience


UNUSUAL PHYSICAL REQUIREMENTS OR RESTRICTIONS

The majority of work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs.  Travel on small aircraft or ferry may be required.
