PURPOSE
The Intake Technician will interview clients and provide program information and applications. The incumbent will receive and review program applications for completeness and make appointments with caseworkers. The incumbent will complete application-related data entry and file management support for Tlingit & Haida programs.

 

REPORTING RELATIONSHIPS
Reports To: Employment & Training Program Coordinator
Supervises: N/A
Liaison To: N/A

 

ESSENTIAL FUNCTIONS
• Review and understand the application requirements and procedures for all participating programs
• Interpret and explain programs, procedures and requirements, and assist clients with appropriate forms
• Answer inquiries and refer to appropriate personnel
• Interview clients, determine nature of need, provide appropriate program applications
• Maintain positive communication with all clients and employees
• Maintain strict confidentiality
• Receive and review program applications for completion
• Schedule client appointments with program Caseworker or Specialist
• Update files and maintain client records
• Provide full range of basic clerical duties; photocopying, faxing, scanning, filing, assembling, uploading, and distributing materials
• Produce reports or correspondence using word processing, spreadsheet, and other business software
• Perform complex data entry tasks; check and correct entry for input errors
• Gather and compile statistical information; produce correspondence and regular recurring reports
• Develop database, spreadsheet, or word processing record and report applications
• Assist with special projects as assigned
• Other duties as assigned

NECESSARY SKILLS AND KNOWLEDGE
• Working knowledge of Tlingit & Haida programs, applications, and requirements
• Proficient in business practices, correspondence, and typing formats, including English grammar, composition, spelling, and punctuation
• Ability to interpret, apply and explain regulations and procedures
• Ability to communicate effectively both written and verbal
• Ability to establish and maintain cooperative working relationships
• Extensive knowledge of Microsoft Office Suite
• Ability to work independently and prioritize workload
• Ability to organize and maintain confidential records
• Ability to compare data for accuracy and completeness; identify discrepancies or inaccuracies and make necessary corrections
• Conflict resolution skills
• Ability to search, select, compile, and summarize data and information
• Familiarity with Tlingit, Haida, and Tsimshian cultures

 

MINIMUM QUALIFICATIONS (education, experience, skills)
• High School Diploma or GED
• 3 years of clerical experience
• 1 year of related experience
• Typing speed of 50 words per minute

 

PREFERRED QUALIFICATIONS (education, experience, skills)
• 1 year of experience as an Eligibility Technician or equivalent
• Valid driver’s license

 

UNUSUAL PHYSICAL REQUIREMENTS OR RESTRICTIONS
The majority of work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs. Travel on small aircraft or ferry may be required.
