PURPOSE
The Office of the President (OTP) Manager will provide direct and indirect administrative support to the President. Incumbent will work collaboratively with the OTP staff and other departments to ensure functions, priorities, and deadlines of the Tribe are carried out.

ESSENTIAL FUNCTIONS
• Follow up on policies initiated by the Tribal Assembly, Executive Council, and/or the President
• Ensure the proper administration of all duties necessary in managing the Office of the President, including but not limited to records retention, file management, publications, and data management
• Make independent decisions as occasion demands regarding matters requiring immediate action
• Prepare, monitor, and modify the budgets for the Office of the President, Executive Council, and Tribal Direct
• Assist the President in the general supervision of OTP Staff
• Initiate correspondence and follow through with OTP staff and managers for the President
• Coordinate, plan, create agenda, and organize presenters/presentations, etc. for quarterly All Staff Meetings and Administrative Staff meetings
• Coordinate annual events such as Elizabeth Peratrovich Day, Tlingit & Haida Day Picnic, Employee Tenure, All Staff Meeting, Indigenous People’s Day, Staff Holiday Party
• Attend President’s meetings, take notes, and follow up on tasks
• Serve on committees, task forces and work groups
• Travel extensively
• The President may assign other duties as needed

NECESSARY SKILLS AND KNOWLEDGE
• Extensive knowledge of accepted office procedures and office equipment
• Must demonstrate excellent secretarial skills, including file retention policies and file management
• Ability to record and transcribe minutes of meetings in format suitable for publication
• Knowledge of applicable Federal, State, and Tribal law, regulations, rules, policies, and processes,
• Excellent business writing skills
• Demonstrate diplomacy and establish positive collaborative relationships with governmental and non-governmental agencies
• Ability to establish and maintain cooperative working relationships with individuals with wide array of cultural, political, educational, socio-economic, geographic, and linguistic backgrounds
• Must be dependable and be able to work independently with minimal supervision
• Must be able to work effectively with the public and fellow employees
• Must be familiar with State, Federal and community infrastructures
• Must be able to maintain the highest-level confidentiality of the executive office
• Must be able to work well under pressure
• Must possess high level of competence in computer word processing and spreadsheet software
• Working knowledge of MS Access, PowerPoint, and Project Management
• Minimum typing speed of 60 wpm

 

MINIMUM QUALIFICATIONS (education, experience, skills)
• Bachelor’s Degree
• 2 years related experience
• 2 years’ supervisory experience

Substitution for Bachelors:
• Associates Degree and
• 4 years’ experience as a Specialist or Coordinator
• College, business school, or management training beyond high school may be substituted for experience, on a year-for-year basis. (Transcripts must be provided)

 

PREFERRED QUALIFICATIONS (education, experience, skills)
• Experience residing in and/or traveling frequently within rural Alaska
• Some journalism/professional writing education

 

UNUSUAL PHYSICAL REQUIREMENTS OR RESTRICTIONS
The majority of work is performed in a professional office setting and is generally sedentary, requiring routine walking, standing, bending, and carrying of items weighing less than 40 lbs. Travel on small aircraft or ferry may be required.
